The Administrative Specialist II joins a dynamic team of Administrative Specialists providing excellent customer service to internal and external customers.

WORK SCHEDULE/CONDITIONS: This position is nonexempt (hourly) and is eligible for overtime with supervisory pre approval. Typical hours are Monday - Friday 8am-5pm. The position is represented by Teamsters #117.

MISSION CRITICAL POSITION STATUS: This position is designated Non-Mission Critical. Unless otherwise directed by the County Executive, department director or agency head, all employees, regardless of designation, are expected to report to work or request leave during an emergency or inclement weather. TELEWORKING REQUIREMENT: The work associated with this position will be performed through a combination of teleworking complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

E mployees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations . King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.

Job Duties

  • Create a welcoming environment virtually and in person to people calling or visiting the Department and connect them to the relevant resources.
  • Schedule in-person and virtual meetings and events and provide support, including but not limited to managing calendar schedules, taking and transcribing minutes, setting up equipment, reserving meeting locations, preparing meeting documents, etc.
  • Format and proofread (with a high attention to detail) memos, letters and complex documents such as contracts, amendments, reports, newsletters, and manuals, using County and Division style guidelines for grammar, punctuation, terminology, abbreviations, font, spacing, tabbing, and alignment throughout. Research to resolve questions/issues.
  • Maintain complex electronic and paper files, requiring close attention to detail and compliance with records retention requirements.
  • Establish, maintain, modify, track and/or retrieve information in spreadsheets and customized database applications. Enter, obtain, and verify information.
  • Handle routine clerical responsibilities including, but not limited to ordering supplies, distributing and processing mail, copying documents, scanning, faxing and distributing incoming faxes, identifying priority/time-sensitive matters.
  • Assist with processing employee expense reimbursements and reconciling purchase card and travel card expenditures.
  • Operate and troubleshoot issues with technology (e.g., copy machines, laptops, projectors, etc.).
  • Update website pages using Microsoft Sitecore.
  • Perform other related duties as assigned.

Experience, Qualifications, Knowledge, Skills

  • Two years of recent full-time (or the equivalent of two years of full-time) general office experience providing administrative support.
  • Excellent customer service and public relations skills in a diverse work environment. Experience communicating effectively, both orally and in writing.
  • One year of recent experience of taking and transcribing meeting minutes.
  • Intermediate experience using the Microsoft Office Suite, including Teams, Outlook, Excel, PowerPoint, Publisher, OneDrive and SharePoint.
  • Strong writing skills, including proper usage of grammar, spelling, and punctuation.
  • Ability to type a minimum of 50 words per minute.
  • Initiative and accountability skills for meeting deadlines, work product or service.
  • Ability to work and make decisions in a team environment, be an effective team member, help co-workers and ask for help appropriately, work with the schedules of other staff, be cooperative and able to compromise and resolve issues with minimal direction, be flexible and work professionally with all levels of staff.
  • Ability to prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously work on multiple assignments.
  • Experience working in environments requiring maintaining confidentiality.
  • Demonstrated punctuality and dependability in daily attendance.
DESIRED QUALIFICATIONS:
  • Experience using Oracle I-Expense.
